Who we are Minchinhampton Golf Professional Shop & Teaching Academy Ltd trading as Minchinhampton Golf Academy is the data controller for the personal information described here. What we collect, and why

When you enquire through the website — your name, email address, and whatever you tell us in your message. We use it to answer you. Our lawful basis is legitimate interests: you have asked us a question and we need to reply.

When you book a lesson, fitting or simulator session — your name, contact details, and details of the session. Booking is handled by our booking provider, Foremost Golf, and the information you enter there is processed by them as well as by us. Our lawful basis is performance of a contract.

When you buy from the online shop — your name, contact details, billing details and order details. Card payments are processed by Stripe; we do not see or store your full card number. Our lawful basis is performance of a contract, and our legal obligation to keep accounting records.

When you are coached or fitted — the swing, launch, putting and fitting data we record during your session, and your club specifications. We keep this so that your next session picks up where the last one finished. Our lawful basis is performance of a contract. Where a coach records information about a physical limitation or injury that affects your golf, that is health data and we will ask for your explicit consent before recording it.

When you agree to hear from us — your name and email address, used to send occasional news and offers. Our lawful basis is consent, and you can withdraw it at any time using the unsubscribe link in any email or by telling us.

Who we share it with We share personal information with the suppliers who help us run the academy: our booking provider (Foremost Golf), our payment provider (Stripe), our website host (Krystal Hosting), and our email provider (Google, for Google Workspace). Where we order custom-fitted equipment on your behalf, we pass your specification to the manufacturer concerned. We do not sell your information to anyone.

How long we keep it Enquiries: 24 months. Booking and lesson records, including swing and fitting data: 6 years, so that we can pick up your coaching history and honour equipment queries. Accounting records: 6 years plus the current year, as tax law requires. Marketing consent: until you withdraw it, and we will ask again if you have not engaged for 24 months.

Where it is held Our suppliers may process information outside the UK. Where they do, we rely on the UK Government’s adequacy regulations or on the International Data Transfer Agreement to keep your information protected to UK standards.

Your rights You have the right to ask for a copy of the information we hold about you, to have it corrected, to have it deleted, to restrict or object to how we use it, to have it transferred to another provider, and to withdraw consent where we rely on it. To exercise any of these, contact us using the details above. We will respond within one month.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113. We would ask you to raise it with us first so that we have the chance to put it right.
